This is an exciting time for Airwallex as we continue to invest and grow our US operations. We are continuing to hire across multiple teams and locations, and will be moving into new offices in San Francisco and New York City to build our community of employees around our offices. In this role you will own our new workspaces, bring our community of employees together, and help support People & Talent team operations and work with our Executive GM, Americas. This role is based in San Francisco and will report to the People & Talent Director in the US.

Our team adds value by supporting people with the workspace, tools, and wellbeing initiatives for them to do their best work at Airwallex.

Responsibilities:

This Workplace Experience role is comprised of three components:

  • Workplace Experience

    • Oversee all facets of facilities management, services, and resources to ensure seamless operations for our SF office and hubs in Austin and New York

    • Manage the Workplace budget, including operating expenses, and analyze cost-effective measures for optimizing office space

    • Track KPIs, including in-person metrics and space efficiency, providing leadership with actionable insights

    • Cultivate and refine relationships with vendor partners, including Real Estate Brokers, Property Management, Contractor Services, and Food & Beverage, to maximize value

    • Oversee the Food & Beverage program, including placing and stocking orders as necessary

    • Lead project planning with IT, Finance, Security, and HR leaders to strategize new office-build initiatives

    • Establish and enforce Workplace objectives, policies, and operating procedures

    • Travel to local office at least twice a week to ensure alignment and support (travel to other office hubs as needed)

    • Ensure compliance with local regulations, industry standards, and health and safety requirements related to workplace operations

    • Manage internal communications and documentation pertaining to the workplace, including office updates or changes, and general office information

    • Take on ad hoc projects, as needed

  • Community & Employee Experience

    • Provide first-instance support for office equipment and facilities, in partnership with partners in IT

    • Manage exciting workplace and wellbeing projects in cooperation with our global Workplace Experience leads

    • Coordinate all in-office events for employees and serve on the Culture Committee to help drive culture initiatives

    • Create a warm and welcoming guest experience and build out a scalable guest management system

  • People & Talent

    • Support P&T team members in building out our Americas P&T capabilities, which may include hiring, onboarding/offboarding, benefits administration, and systems administration

    • Assist Talent Team with onsite interviews and building out a world-class onsite candidate experience

    • Be backup support to the People Operations and Talent Team team as needed

Requirements

  • You have solid working experience (8+ years) in a people-focused role such as workplace experience, employee engagement, office management, facilities, or hospitality events management

  • Ability to consistently deliver a high level of customer service

  • Strong communication skills across employees at all levels within the organization

  • Demonstrated ability to handle multiple tasks with little or no supervision

  • Advanced problem solving skills

  • Ability to triage and create sensible prioritization in order to continue to be effective

  • Positive attitude; grace under pressure

  • Accurate, organized, punctual and accountable

  • Strong computer skills including experience with Google Suite

  • Note: This role requires on-site presence in our San Francisco office from Monday-Friday 8am-5pm
